Task Types Accessing Tasks Task Details Update Task Status Add a Quote Other Task Actions

The Task Management Module in the Titan Maintenance platform enables contractors to efficiently handle both reactive and scheduled tasks. This guide outlines how maintenance providers can access, track, and progress tasks or work orders assigned to them.

Tip: You may see “Task," “Work Order,” “Job,” or “Ticket” in the Titan Maintenance tenant. These are customized terms for the same concept - the scheduled or reactive maintenance that needs to be done and is tracked from end-to-end in Titan Maintenance.

 

Task Types

Tasks within the system fall into two main categories:

  • Reactive Tasks: Dispatched to a contractor when a breakdown occurs at a site.
  • Scheduled Tasks: Generated automatically based on a set maintenance cycle.
 

Accessing Tasks

All assigned tasks are displayed in the Task Summary. Each task includes:

  • A unique reference number
  • Detailed task information (site, request type, priority, etc.)
  • Status indicators to track progress

To open a task, simply click on its Task Reference Number in the far lefthand side, or the arrow task details icon on the far righthand side of the Task Summary list.

Task Details

Once a task is opened, users can:

  1. Review Task Details: View job description, location, and site requirements.
  2. Update Task Status: Users can update the task to a new status based on their permissions and the current status.
  3. Attach Supporting Documents (if required): Upload photos, notes, or documents.

The information you see in the task or work order is dependent on your user permissions and the tenant's custom settings. As a minimum, you should see:

  • The Task ID and current Status 
  • Relevant Alerts (SLA status, safety hazards, etc.)
  • Links to Site and Supplier/Contractor details
  • Link to Asset details
  • Available Shortcuts (blue buttons)
  • Available Actions (green button)

The tabs within the task detail view contain more comprehensive information including history, attachments, and financials. Access to view or edit content within these tabs depends on your level of access to the system. 

 

Update Task Status

Tasks are expected to progress through a defined workflow. Users that are expected to do so will see a Change Status button to progress the task to the next stage.

Tip: You may be prompted to answer Supplier Task Compliance questions related to health and safety procedures before proceeding with certain status changes. 

 

Add a Quote

If an estimate needs to be provided, click the add Add Quote button.

Enter the quote amount or itemized lines (if required) and upload relevant documents.

Once submitted, the task status will automatically update to Estimated, and the quote will be stored in the Financial tab for review and approval.

Other Task Actions

Depending on your access level, you may see the following additional options in the Shortcuts (blue buttons) or Actions menu (green button): 

  • Chase the task: Send a reminder or follow-up.
  • Add a note: Notes can be flagged as actionable to appear in the notifications bubble. 
  • Make edits to the task's details, matrix, or workflow
  • Create a related task
  • Create a child task
  • Clone the task
  • Resend notifications related to the task
